Workio: your business paperwork in one app
Published on August 12, 2026
A quote to send while you are still at the customer's place, a receipt to hand over at the end of the job, a reminder for an invoice nobody has paid. Workio is built for people who write these documents on the move, between one job and the next, and would rather not open a laptop to do it. It's on Google Play, it works offline, and the data stays on the phone.
Thirteen document types, one flow
Quotes, proformas, invoices as PDF, credit notes, receipts, payment reminders, contracts, delivery notes, orders, price lists, expense reports, account statements and intervention reports: thirteen real templates, not one generic form to bend every time. When a quote is accepted you turn it into a proforma and then an invoice with a single tap, retyping nothing. There are additional-charge and withholding-tax lines, per-item discounts and, on intervention reports, an automatic hour count across multiple sessions. Over a hundred PDF templates to pick from.
Get paid, and keep track
Every payment is recorded on the document, partial ones included: the paid total and the status update themselves. The home screen opens on collected, outstanding and overdue, with the revenue trend of the last six months. You can attach an online payment link to the PDF — Stripe, Revolut, SumUp, Mollie — which becomes a QR code inside the document, so the customer pays in one tap. Signatures are taken directly on screen and stay inside the document; with Pro you can also share it as a link and see when it is opened and signed.
The data stays on your phone
Customers, documents and price lists are stored on the device only. The app works fully offline and the core features need no account at all. It locks with your fingerprint or PIN, makes automatic encrypted backups you can restore at any time, and exports everything to CSV. Around that sits what saves you time: a reusable catalogue of products and services, colour tags, global search, and recurring documents that create their own drafts. Currency is set per document, tax-ID labels adapt to the country (VAT number, USt-IdNr, EIN) and bank details cover international accounts. The interface is available in 18 languages.
What it costs, and what it doesn't do
Workio is free forever with five documents a month, three templates and local PDF sharing. Workio Pro is $11.99 a year with a seven-day trial and removes the limits: unlimited documents, every template, business analytics, cloud links with online signing, encrypted cloud backup, multiple brands and no watermark. One thing we would rather say up front: Workio produces non-fiscal business documents as PDF. It does not generate tax-authority compliant electronic invoices and it does not replace your accountant or your e-invoicing platform — it sits alongside that workflow, not in its place.
